1. Data controller

The controller of personal data processed in connection with use of this website is PRO IT Consulting.

2. Scope of data processing

This website is informational. Personal data may be processed when a user contacts the controller by email, for example by sending an enquiry about services.

In such a case, data provided by the user in the message may be processed, in particular the email address, first and last name, company name, telephone number and correspondence content.

3. Purposes of data processing

Personal data may be processed to:

• respond to an enquiry,
• conduct correspondence about services,
• prepare a cooperation proposal or quotation,
• establish, pursue or defend potential claims,
• ensure the proper operation and security of the website.

4. Legal bases for processing

Correspondence data and necessary technical data are processed on the basis of the controller’s legitimate interests in conducting correspondence, handling enquiries, presenting offers, ensuring security and protecting against potential claims.

Matomo visitor analytics are enabled only after the user consents to the “Analytics” category. Consent can be withdrawn at any time in the cookie settings.

5. Data retention period

Correspondence data is retained for the time needed to handle the enquiry and subsequent communication, and then for the period required to protect against potential claims or document the course of contact. Matomo analytics data is retained according to the system configuration: raw data for up to 365 days and detailed aggregated reports for up to 24 months. Basic metrics and monthly and yearly reports are not covered by this automatic deletion and may be retained longer in aggregated form.

6. Data recipients

Data may be processed by entities supporting the controller in maintaining the website, email, hosting or IT infrastructure, solely to the extent necessary to provide those services.

7. User rights

The data subject has the right to access, rectify and erase data, restrict processing, object to processing and lodge a complaint with the President of the Polish Personal Data Protection Office.

8. Cookies and similar technologies

The website uses an essential first-party mechanism to remember privacy preferences. The selection may be stored in the proit_cookie_consent cookie (for a maximum of 180 days) and, additionally, in the browser’s local storage. This mechanism is not used to track the user or create a profile.

The panel separates essential mechanisms from analytics. Visitor analytics are provided using a self-hosted Matomo instance maintained on the controller’s server at analytics.proitconsulting.pl. Measurement may include page views, approximate location, language and device type, traffic source and selected interactions, such as using a contact button, opening a case study or expanding an FAQ question. We do not record content entered by users. Matomo is loaded and begins measurement only after consent to the “Analytics” category. We do not conduct marketing activities or advertising profiling.

Matomo uses IP address anonymisation, removes query parameters from referrer addresses and applies limited data retention. Matomo may store a technical, pseudonymous visitor identifier, but we do not send it form data, passwords, tokens, email addresses or first and last names.

The website also uses external resources such as Google Fonts, which may cause the user’s browser to connect to the servers of those resource providers.

9. Technical and security logs

To ensure security, detect abuse, diagnose errors and maintain infrastructure, the server may record in technical logs the IP address, request date and time, hostname, request method and path, response code and browser identifier (user agent).

Logs are accessible only to the controller, stored outside the website’s public directory and rotated daily with a limited retention period. They do not contain passwords, form contents, tokens, cookies or other sensitive data transmitted in the request body.

10. Changes to this privacy policy

This privacy policy may be updated, in particular when the website is developed, new features, forms or analytics tools are added, or organisational changes are made.
